PostCoder Pro The full range of address finding searches

What is it?

This is a desktop product to allow you to lookup an address from any fragment of an address. Simply purchase, install and search. It's as simple as that. PostCoder Pro also includes label printing, keyword searching, storing of "favourites" and the ability to send addresses to any other Windows-based application or database.

Who uses it?

Commonly used by retail and business services, this software is great for telephone enquiries as you can impress customers with fast, correct address collection.

Why should I use it?

Provides easy searching and is compatible with other Windows applications within your company. See the Database Marketing magazine independent review by John Fowler of Cognitum Database Marketing Services. His comments include:

"I found this a satisfying product to use. It was intuitive, clean and uncluttered."

"I called the support desk and the service was excellent. They answered my questions where they could and the one that they couldn't, promised to ring me back with an answer - and did."

What data is used?

  • Royal Mail's Postcode Address File (PAF®) - 1.7 million Postcodes and 28 million Delivery Points including UDPRN
  • Royal Mail's Alias Data - Former Postal, Administrative and Traditional Counties
  • Optional GeoData - 100m Grid References, NHS Health Authority codes and names, Local Authority information
  • Current County from Allies®
  • Optional NSPD from ONS - Primary Care Trust codes and names
  • Quarterly updates

How do I pay for it?

Purchase an annual licence for unlimited use per PC. Flexible pricing also allows you to pay only for the PAF® data you require - for instance, PostCoder Local version will reduce costs, see below.

Lower cost alternatives

You may not need all the functions and data that come with PostCoder Pro, so you could opt for a cheaper alternative:

  • PostCoder Local - this has the same features as PostCoder Pro but you can limit price by reducing geographic coverage. Pick 4 Postcode Areas (for example NR, IP, CO, PE) to reduce cost. This address lookup software is ideal for businesses who operate locally, such as take away shops or local service providers. Annual data updates are included.

More Details

Which search options are available for PostCoder Pro?

Three search types are available: Basic Searching, Rapid Addressing and Address Matching.

  • Basic Searching would be used if you have been given specific address details such as the street, locality and post town and you want to know the Postcode.
  • Rapid addressing is ideal in a call centre environment, where you might ask a caller for their Postcode and house name or number.
  • Address Matching can be used where fragments of the address have been provided but a correct complete address is not known. This powerful feature will search the PAF® data for a match and will take account of missing information and misspelled information.

Variations

  • PostCoder Local has the same three search types available, but is limited to the local Postcode Areas specified.

Can an address found by PostCoder Pro be transferred or saved to another application?

Yes. PostCoder Pro, Lite and Local have fully customisable send address features that allow single address results to be sent to other applications. The results can be sent to databases, spreadsheets, graphics packages, accountancy packages, word processors and other applications that take text input. See below for more on this. PostCoder also comes with a useful address label printing function that allows single or multiple addresses to be printed.

How do I set up PostCoder to send an address into my chosen application?

This requires configuration of a Send Format. To do this, please carry out the following actions: Choose Tools | Options | Send Format

You can either choose an appropriate pre-defined Send Format for your application from the dropdown list, or create your own customisable format by clicking 'New' and choosing from the options available.

The output is fully configurable so you can choose whether you would like packed or fixed format, tidy premises, and configure the number of lines you require in your send output as well as the address elements that will appear in each line.

Can PostCoder print address labels?

Yes. PostCoder Pro, Lite and Local can print to a sheet of labels or to an individual envelope. It also supports printing to labeling devices such as Dymo label printers. For further details of how to configure printing, please refer to the manual by choosing, Help | Contents.

What is the best way of producing multi-address label sheets in PostCoder?

You can use the built in Label printing function to output all of an address selection to labels directly. To do this, simply use the "basic search" function to narrow your selection, then select print. It will output all addresses in your selection to the printer, allowing you to add a line of text to everything in the selection such as "The Occupier".

Alternatively, you should use Microsoft Word (or similar) to produce a sheet of labels and then use Send Direct within PostCoder to transfer the address into the appropriate label. In Word 2000, you would do this as follows:

  • Create a new document in Word.
  • Choose Tools | Envelopes and Labels.
  • If the required label type is not selected, click Options and choose the required label from the selection box.
  • Click on New Document.
  • Click in a label and switch to PostCoder. At this point, if PostCoder is already active, you may press Alt-P to activate it.

How do I make sure my installation code works?

During the installation process, all the information you enter into the registration page is case and punctuation sensitive and must be entered exactly as given on your registration sheet.

What is the difference between 'mixed' case and 'postal' case?

Mixed case uses a mixture of upper and lower case characters for all elements of the address. Upper case letters are used for the first letter of each word except the Postcode, which is all upper case.

In postal case, the upper and lower case mixture is used for all elements except the post town and the Postcode, which are both in upper case. This is Royal Mail's approved format and makes the post town and Postcode stand out from the address to make mail sorting easier.

Why does the text case reverse when sending address data?

PostCoder® uses the keyboard settings when sending data. If you have got Caps Lock on, turn it off and this should solve the issue.
